Position description 

The Receptionist & Office Administrator is an office-based role and is required to be fully onsite.

This role is the first point of contact for Export Finance Australia, interfacing with members from all levels of the organisation as well as the public. It is responsible for the seamless management of the reception desk by greeting clients, maintaining external meeting and shared spaces and coordinating the office administration. It ensures the ease of operation within the workplace and includes the faciliation of event and meeting coordination, processing of couriers and the coordination of office supplies.

Receptionist

  • Maintain a professional reception environment, by providing a great first contact experience for all internal and external stakeholders
  • Build and develop effective client and stakeholder relationships across multiple levels of the organisation.
  • Co-share the answering of the central switch number and manage external visitor registration processes.
  • Assist internal stakeholders with client meeting room set up and ensuring ongoing servicing.
  • Maintain a clean and safe workspace, including meeting rooms, and abide by workplace health and safety policies and procedures.
  • Handle the collection, processing, and distribution of incoming and outgoing mail and courier deliveries in a timely manner.

Office Administration

  • Maintain the professional appearance of the work environment including the kitchen area, stock cupboards with pantry supplies, office supplies and stationery.
  • Manage & coordinate general administrative tasks including scheduling meetings, internal events and catering.
  • Procure and manage stock of office supplies within the workplace including pantry supplies and stationery
  • Diary management, maintaining calendar appointments, co-ordinating travel arrangements and minute taking.
  • Assist interstate offices with necessary office supplies.

About you

  • Corporate reception and/or administration experience, ideally gained in financial or professional service environments.
  • Strong written and verbal communication skills with the ability to influence effectively at all levels of the organisation.
  • Highly motivated and flexible individual who is driven to provide dedicated support and takes accountability for the smooth running of the office environment.
  • Excellent time management and organisational skills with impeccable attention to detail.
  • A high level of emotional intelligence and rapport skills.
  • High level of integrity and ethics with the ability to maintain confidentiality.
  • Operates with autonomy, with some oversight and direction required. Comfortable with sole ownership of tasks and initiatives and drives completion.
